Constellation Cold Logistics Denmark A/S optimises time tracking and workflows with Timegrip

 

Since November 2023, Constellation Cold Logistics Denmark A/S has been collaborating with Timegrip (formerly TimeMap) to elevate the company’s time tracking to the next level. With 300 employees, there was a need to modernise and streamline the two systems previously used for hourly-paid employees and salaried staff.

 

Initially, Timegrip has been implemented for the salaried employees, who make up one-third of the workforce in the cold storage company. As a leading service partner for the food industry, Constellation Cold Logistics Denmark A/S specialises in freezing, frozen goods handling, storage, and food packaging.

 

 

From complex systems to intuitive automation

 

The HR department, in collaboration with the IT department, has been responsible for implementing Timegrip as a new time tracking system. HR Consultant Cathrine Kirchhoff and IT Project Coordinator Bjarke Andreasen have been key drivers in the implementation of the new system.

 

“We needed something smarter and more modern,” explains Cathrine.

 

Previously, Constellation Cold Logistics Denmark A/S used two different time tracking systems: one for salaried employees and another for hourly-paid workers. The old systems hindered efficient time tracking and often required customisation to meet the company’s needs.

 

As a result, Constellation Cold Logistics Denmark A/S explored the market for new solutions and spoke with companies already using Timegrip, receiving positive feedback on the system.

One of the company’s biggest challenges was reducing the manual workload associated with time tracking, which affected both efficiency and productivity. Timegrip has helped alleviate this issue.

 

“Timegrip resolves some of the challenges we faced with our previous systems,” says Cathrine.

 

 

 

 

One system for everything – greater efficiency, less Excel

 

Previously, Constellation Cold Logistics Denmark A/S managed on-call and standby shifts using Excel spreadsheets, which created unnecessary complexity.

 

“With our old system, employees had to fill in an Excel sheet when they had on-call and standby shifts, overtime, and time off in lieu. Now, with Timegrip, they record everything in the app. It has made things much easier,” explains Cathrine.

 

Similarly, Timegrip provides a clear overview of holiday entitlement, additional leave, and time off in lieu.

 

“Now employees can immediately see their holiday, additional leave, and time off in lieu. Previously, they had to wait for their payslip to get an overview. If they now request an additional leave day, they can instantly see their balance decrease.”

 

 

Seamless implementation and training

 

Bjarke and Cathrine have jointly been responsible for training employees in using Timegrip. Reflecting on the implementation process, she says:

 

“It has actually been easy. We conducted Teams meetings, inviting five or six employees at a time. We walked them through logging in, using the time tracking functions, and other features they enter in the app themselves.”

 

The company opted for a test phase, allowing two departments to trial the system and identify any areas for improvement.

 

“Very few employees have needed additional help because the system is straightforward and easy to understand. In general, people are positive,” says Cathrine, who also praises Timegrip’s customer support.

 

“If I encountered something I couldn’t resolve, I contacted support. They have been excellent in providing quick responses.”

 

 

Timegrip brought stability and structure

 

Constellation Cold Logistics Denmark A/S wanted to implement Timegrip quickly, and the system was successfully rolled out for salaried employees within a month. It was an intense period, but Cathrine explains that Timegrip helped maintain stability throughout.

 

“It was a hectic process, but it was a good one. We received the support we needed.”

 

With Timegrip, the company expects to improve communication between employees and managers while optimising workflows.

 

“I believe our processes and workflows will become more efficient when everything is consolidated within Timegrip,” says Cathrine.

 

She looks forward to the transition of hourly-paid employees to the new time tracking system, which continues under new ownership. Constellation Cold Logistics Denmark A/S was formerly known as Agri-Norcold but has since been acquired by Constellation Cold Logistics, Europe’s second-largest cold storage company. However, this does not change the ongoing rollout of Timegrip in Denmark.

“It has been a great experience. They respond quickly, and if they can’t resolve something exactly as we envisioned, they offer alternative solutions, ensuring we get what we need.”

 

Constellation Cold Logistics Denmark A/S has high expectations for Timegrip.

 

“Once all employees are using Timegrip, I expect we will fully reap the benefits of the system. The first phase has been very positive, and we are highly satisfied. Once the entire company is using the same time tracking system, it will be fantastic,” says Cathrine.
