You can easily switch between views, plan locally or centrally, and assign employees to one or multiple units.   • In Timegrip, you can register employee skills and ensure that only qualified employees are assigned to the right shifts. The system helps you keep track of who is authorised and capable of handling specific tasks, so you can always stay compliant and ensure the right staffing levels.

Time tracking

  • Yes, Timegrip offers project-based time tracking. This means employees can register working hours on shifts for projects and sub-tasks. You gain access to real-time reports showing the actual time spent per task, project, and schedule.

  • If you forget to clock in for your shift, you can create a manual time registration afterwards. This applies to all days where you have scheduled shifts. Once the registration has been completed, the working day will be saved in your schedule, and the WFM system will register the exact working hours you were scheduled for.

App

  • Yes, Timegrip is designed to work seamlessly on mobile devices, allowing both employees and managers to access schedules, time tracking tools, and communication features wherever they are.

  • Yes. In the Timegrip app, you can register working hours by clocking in and out of your scheduled shifts. Under the “My Times” tab, you can view past and future working hours in your schedule, as well as precise timestamps from your time tracking registrations.

  • To log in to the Timegrip app, you need to use the HTML code provided by your workplace. You will then need your employee number and a self-chosen password. After logging in for the first time, you will also be able to enable biometric login.

  • Under the “Messages” tab in the Timegrip app, you can view notifications about shifts, approved or rejected absence requests, shift swaps, messages from the organisation, and similar updates.

  • Yes. The Timegrip app is available in 25 languages. Users can change the language directly in the app settings.

  • Yes. The Timegrip app supports both iOS and Android and works on mobile devices such as smartphones and tablets.

Holiday and absence management

  • In Timegrip, it is easy to keep track of scheduling during holiday periods. In our WFM system, schedulers have access to a complete overview of employees’ requested and approved holiday. This makes it easy to take absence into account when creating schedules.

  • Yes. In the Timegrip WFM system, you have access to a detailed overview of both planned and registered absence, such as holiday, sickness, and a child’s first sick day. This makes it possible to monitor absence statistics across departments and periods, helping you easily identify patterns in employee absence.

  • Yes. In the Timegrip mobile app, employees can view their current holiday balance and keep track of both holiday accrual and usage. This means your employees are never uncertain about whether they have remaining holiday entitlement or absence days available.

  • Yes, you have access to an up-to-date overview of staffing levels. With real-time insights, you are notified about last-minute changes, such as same-day sickness absence. You can see who has arrived, who has reported absence, and where gaps appear in the schedule.

Employees

  • Yes. In the Timegrip app, you can access holiday and absence under the “Registrations” menu and then “Absence”. Here, you can choose between the different types of absence that have been set up in your organisation. You will receive a notification once your absence request has been approved.

  • Yes, employees can swap shifts themselves in the Timegrip app. You can offer your shifts to other employees, release shifts, view open shifts, and arrange internal shift swaps. All shift swaps must be approved by an administrative employee in the app.

  • Yes. In the same way that you register clock-in and clock-out times, you can also register breaks. If you have worked overtime, your time registration will show the exact time you clocked out. This allows your manager to see if you have worked overtime.

  • If an employee forgets to clock out, this can be corrected when approving time registrations in the app. This is done in our WFM system, where the manager can view the scheduled working hours and make the correct clock-in and clock-out adjustment for the employee who forgot to clock out after their shift ended.

  • Yes. In Timegrip, an employee can easily be assigned to multiple employee groups, for example across departments, functions, or locations. This allows you to plan and organise flexibly, regardless of how your organisation is structured.

  • Yes. You can set up restrictions for employees and control which employees have access to specific parts of the Timegrip solution. This includes, for example, determining who has permission to approve shifts and edit your schedules.
