Mariehjemmene optimises care and support by implementing Timegrip

 

In the early autumn of 2022, Mariehjemmene implemented Timegrip (formerly TimePlan) in their organisation. Despite the system still being relatively new within Mariehjemmene, we spoke with them about how they are utilising Timegrip’s services.

 

The interviewees included Chief Financial Officer Jan Løjmand, Communications Consultant Hans Meier Andersen, and Payroll Consultant Kate Bergholdt. Before implementation, none of them had prior knowledge of Timegrip, but they decided to explore the system and ultimately integrate it into Mariehjemmene’s operations.

 

Mariehjemmene is a Danish private, non-profit organisation that has been working for 60 years to ensure that its residents can live exactly as they wish. They operate eight care homes and 12 supported living facilities in Denmark, with approximately 600 housing units. Additionally, they employ around 1,100 staff members who use Timegrip to varying degrees. Mariehjemmene ensures that their residents receive support, presence, and care according to their unique wishes and needs.

 

Mariehjemmene explored the market for a workforce management system that suited their organisation and recalled Timegrip. They explained: “We were not satisfied with what we had, so we explored the market. We ended up choosing Timegrip because you had presented it to Mariehjemmene two to three years ago. One of our employees remembered this, so we reached out to Prakash. This started the dialogue for implementation in the spring of 2022.”

 

At Timegrip, our sales consultants frequently visit organisations to present our product, explain its functionality, and demonstrate how companies can integrate it into their daily operations. This presentation process played a key role in Mariehjemmene’s decision when they replaced their previous workforce management system.

 

 

Support for workforce scheduling and data management

 

Mariehjemmene implemented Timegrip to address challenges related to workforce scheduling, holiday management, and payroll processing. Furthermore, they look forward to the release of Timegrip Analytics in early spring 2023.

 

 

Timegrip Analytics

 

Timegrip Analytics is our latest module, set to be launched in the coming months. It personalises your company’s dashboard within Timegrip and enables the creation of reports. The tool delivers graphically pre-defined dashboards for various workforce management parameters. Since it is a new module, it requires a new licence key and access to additional modules such as Payroll Budgeting, Statistics, and Exports.

 

Timegrip Analytics provides an overview of time tracking, workforce scheduling, and HR administration through different dashboards. The design can be customised with features that benefit your organisation. Additionally, the Analytics module enables the generation of reports on topics such as absenteeism and available shifts, as well as a calendar displaying birthdays and work anniversaries. This module will become part of Timegrip in early 2023.

 

Mariehjemmene believes that implementing Timegrip will help them collect data and achieve more comprehensive scheduling. “I think Timegrip makes planners better at planning. We aim for the green schedule,” they noted with a smile. Timegrip will serve as a valuable tool in tracking absence and integrating with Evovia, formerly known as MUS Schedule.

 

 

 

 

Data-Driven insights with Timegrip

 

When asked what they value most about implementing Timegrip’s workforce management system, Mariehjemmene highlighted: “That the data is accurate and trustworthy. That’s a crucial factor. Additionally, the green schedule is an ideal we strive for. We can see that our managers take great pride in presenting a green Timegrip schedule during meetings – it offers clear benefits. We also feel that workforce schedules have become more reliable as they are interconnected. The level of security in daily operations has improved.”

 

Since Timegrip is still a relatively new system at Mariehjemmene, they acknowledge that the data is still developing: “We are yet to see the full results as we have only been using it for two months. It is still new. But the green schedule serves as a teaser for what we can expect. A non-green schedule is essentially a wasted plan, as the yellow one incurs costs.”

 

Mariehjemmene also emphasises that the data provided by Timegrip is essential to their organisation, offering key insights: “We hope the data can be used more actively than it is today. There are many aspects where better data tracking could help us monitor absenteeism and our absence policy. It would be easier to verify these aspects with solid evidence showing a decline in absenteeism. This would enable us to address issues more effectively once we have a comprehensive overview.”

 

Timegrip collects data over months and years, and since it has only recently been implemented at Mariehjemmene, the full overview is not yet available after just two months.

 

Additionally, the data generated by Timegrip will become part of Mariehjemmene’s annual reporting. They emphasised: “We will be discussing data-driven insights extensively and the information that Timegrip provides. These insights will serve as daily information for managers and regular updates for the board.”

 

The data will also be shared across Mariehjemmene’s different locations, giving them insights into operational performance: “It will be shared across our care homes because we want to understand what works well in some homes and what doesn’t in others. We expect to extract a lot of data from this. We recently discussed the requirements in the Annual Accounts Act concerning efficiency and productivity, and Timegrip will play a role in this.”

 

 

Time tracking in the app creates transparency

 

Timegrip helps Mariehjemmene maintain operational security: “Having a reliable operation is the most important aspect. This includes having a workforce schedule we can trust. We know that unexpected absences, such as 10 sick calls on a Saturday morning, can disrupt the plan, but at least in the planning phase, it works. That is the foundation for everything else.”

 

They also highlight that the app is popular among employees, offering ease of access and navigation: “It is crucial that employees can access the app, where they can, for example, retroactively register shifts. Plus, the design is sleek and user-friendly.”

 

 

 

 

Excited about Timegrip’s new Business Intelligence feature

 

Mariehjemmene is eager for the launch of Timegrip’s newest module: “When Analytics is released, we will definitely start extracting and analysing a lot of data. We now have some initial data to work with.”

The new module will assist in data collection: “We expect Timegrip to support us. Otherwise, there would be no point in implementing the system,” they said with a smile. “The decision is final.”

 

 

Trust in the system

 

Timegrip is a crucial tool for Mariehjemmene, providing value through payroll transparency and workforce scheduling.

 

“Timegrip manages approximately DKK 300-400 million at Mariehjemmene. Previously, we operated without a clear understanding of how these funds were allocated and utilised. Gaining insight into expenditure and its actual use will provide valuable information.”

 

Greater security and improved transparency were key reasons for choosing Timegrip: “Additionally, if it makes it easier for employees to find, swap, and register their shifts via their mobile phones, that is also a significant improvement. It should also support management by providing better oversight and greater security – as well as more flexibility,” Mariehjemmene added. “The feedback so far is that it works really well.”
