Timegrip optimises daily operations for Louis Nielsen

The Danish optician chain Louis Nielsen has been using Timegrip for scheduling, time tracking, and HR administration for its 900 employees in Denmark since 2008. Payroll Manager Tina Mærsk Kjellerup particularly appreciates Timegrip’s handling of labour agreements, the ability to delegate tasks, and how the solution provides an overview for both managers and employees across the chain’s 79 stores.

"There are truly many great things to say about Timegrip," says Tina Mærsk Kjellerup, Payroll Manager at the optician chain Louis Nielsen. The optician chain is a family-owned business that was founded in Aalborg in 1978.

Success with time tracking

In 2008, Louis Nielsen chose Timegrip (formerly TimePlan) as their solution for managing scheduling and time tracking.

Before implementing Timegrip, scheduling and time tracking were handled manually in Excel sheets, which were sent from the stores to the head office. This process was both time-consuming and carried a risk of human errors.

The laborious manual time tracking needed to be replaced with a digital alternative.
With Timegrip, the entire process was digitalised, leading to fewer errors and a much better overview of employees’ working hours, shift schedules, and payroll.

"Errors have been significantly reduced. Additionally, we have set up our labour agreements in Timegrip. This means that when planning a shift and keeping the system’s counters green, we know the rules are being followed, and any necessary allowances are calculated correctly," says Tina Mærsk Kjellerup, who adds that Timegrip improves payroll accuracy.

Time-saving administration with Timegrip

Timegrip has proven to be a versatile solution for Louis Nielsen, extending far beyond traditional scheduling. One of the key advantages is the ability to handle travel reimbursements directly in the system, simplifying the process and reducing the need for separate tools.

"Travel reimbursement is an important element, but also the fact that we can create our records and use employee profiles for more than just contracts," elaborates Tina Mærsk Kjellerup.

With Timegrip, Louis Nielsen has scheduling, time tracking, and HR administration gathered in one system. Tina Mærsk Kjellerup particularly sees great advantages in features such as checklists. At the same time, the system enables necessary written documents to be created and centrally managed when tasks are delegated in the stores.

By consolidating these functions into one system, Louis Nielsen has not only streamlined administrative processes but also improved oversight and control of various aspects of workforce management. This has resulted in a more efficient operation and freed up time for other important tasks.

Seamless scheduling and time tracking for both management and employees

One of the most crucial factors for Louis Nielsen in their workforce management is that the Timegrip system is user-friendly and provides a clear overview – both for store managers and employees.

"The system should be seen as a whole, and it all starts in the stores, where the days need to be planned," explains Tina.

With Timegrip, store managers get a clear visual overview of scheduling, who is at work, and whether the right competencies are present. This is particularly important in a company like Louis Nielsen, where the correct number of both opticians and assistants must be available to ensure optimal customer service.

For employees in the stores, the Timegrip app makes access to shift schedules and time tracking much easier.

Tina Mærsk Kjellerup is also very pleased with Timegrip’s support, from the initial implementation of the solution to the daily operations today.

"We have been supported throughout the entire process, and the support has always been excellent," says Tina Mærsk Kjellerup, highlighting the collaboration with both Marianne and Lilian from Timegrip.

With quick assistance and regular follow-ups, Timegrip ensures that the system always operates optimally for managing scheduling, time tracking, and much more.

For Louis Nielsen, the partnership is not just about a well-functioning system but about a partner who understands their needs and provides tailored solutions. This is one of the many benefits Louis Nielsen has gained from a long-standing collaboration with Timegrip.

In recent years, Louis Nielsen has grown in partnership with the British company Specsavers. Louis Nielsen is known for its wide range of glasses and contact lenses and its commitment to eye health. Among other initiatives, the company has launched Synshjælpen in collaboration with Dansk Folkehjælp, providing free eye tests and glasses to 1,200 vulnerable Danes each year.

For several consecutive years, Louis Nielsen has been both nominated for and won the title of Best Workplace in Denmark by Great Place to Work.
