FAQ for all employees

General

  • In the Timegrip TP web app, you can view your roster on a mobile, tablet or computer. Depending on your company’s configuration, you may also be able to swap, release and take shifts, register mileage, and read and send messages.
If you have the required permissions, you can also approve absence, mileage allowance, and available or swapped shifts. You can also carry out basic planning. The features and departments you can see depend on your permission profile.
  • You can choose from the languages made available in the language settings.

  • Some text is created by your company’s administrators and is therefore not translated automatically.

Absence

  • Swipe away from the "All day" option. You can then enter a start and end time for the absence.

  • Select "Interval" under the date range, then select the required absence days in the calendar.

  • You can only select the absence types that your company’s Timegrip TP administrator has made available.

  • Your company’s Timegrip TP administrator may have disabled the option to delete absence. Contact your line manager if the absence needs to be deleted.

Accounts

  • Under "Accounts", you can see transactions and balances for the accounts you have access to. These may include holiday, special holidays, time off in lieu, flexitime, childcare days and senior days.

  • The visible period is controlled by your company’s configuration. Contact your line manager if you need information from a different period.
  • This is only possible if your company’s Timegrip TP administrator has enabled the feature. If it is available, you will find it under "View transactions" on the relevant account.

Calendar

  • First, allow the app to access your calendar in your phone’s settings. Then go to Settings → Calendar in the app and select the calendar with which your working times should be synchronised.

Company news

  • In Timegrip TP, go to Program → Company information. Select the departments that should receive the message, then select "Create message". Enter the subject and message. You can also add attachments and choose when the message should be displayed.

  • An email sender must be configured under Account settings. You can also find the setting under My settings → Settings → Message settings.

Dashboard

  • The dashboard gives you a quick overview of your scheduled working times for the coming week, your current clocking status, missing or incomplete clockings, and selected accounts and balances. Select "View all" in a section to open a more detailed overview.
Depending on your company’s configuration and your permissions, the dashboard may also show new messages and available or swapped shifts.
  • There may be several reasons:
    • Your department uses geofencing or IP restrictions. You can only clock in and out when you are within the approved area, the app has access to your location, or you are connected to an approved network. If you are outside the area, the buttons are greyed out.
    • Your position or collective agreement has not been selected in the app settings. A Timegrip TP administrator must configure this.
    • You are trying to clock outside the company’s time limits. If so, you may need to provide a reason before the time can be registered.
  • Select a shift under "Planned working time" to view the details. When you open a future working time, you can also choose to release or cancel it if the feature is available.

  • Go to Settings → General → Dashboard items. Here you can choose which items are shown on your dashboard.

  • View your current clocking information under "Clockings" on the dashboard. Here you can see the date, time, department and status, among other details. Select the section to open any additional details.

  • This shows working days where a clock-in or clock-out is missing, or where no clockings have been registered. Select "View all" to open the full overview.

Department plan

  • The Department plan gives you an overview of the working times of colleagues in your department. You can choose the date from which the plan starts. By default, it shows today and the following day.

  • Go to Settings → General → Department plan views. Here you can choose whether the Department plan shows:
    • only your own working times
    • available working times
    • only working times involving physical attendance
You can switch these options on or off. The available options depend on your company’s configuration and your permissions.
  • The feature for viewing colleagues’ working times may not be enabled for your company. Contact your line manager to find out how the feature is configured in your organisation.

  • Access to historical working times is restricted for data protection reasons. Managers or HR employees with the required permissions can view previous working times in the system.

Employee search

  • Select the search icon in the top-right corner. Enter your colleague’s name and select "Search". Open the drop-down list to the left of the name to view more information about your colleague.

  • Select the search icon in the top-right corner. Select your department, then select "Search". A list of all colleagues in the department is then displayed.

  • The information shown depends on your company’s configuration. It may include your colleague’s name, mobile number and email address, for example.

  • Your URL is the web address linked to your company’s Timegrip TP solution. If you do not know the address, your line manager can provide it as a direct link or QR code.

  • Your ID number is your username for the Timegrip TP web app. It may, for example, be your payroll code, national identification number, card number or email address, depending on your company’s configuration. Contact your line manager if you are unsure.

  • Select "Did you forget your login information?" on the login page. Then choose which details you want to receive and whether you want to receive them by email or phone. Select "Send". Once you have received the details, you can return to the login page.

  • Go to Settings → General and select "Change password".
  • Select "Remember me" when you sign in. For security reasons, you will automatically be signed out once a week and will then need to sign in again.

  • If you have not yet started working for the company, your login may not become active until your employment start date. Contact your line manager if you still cannot sign in.

Messages

  • Go to Messages and select the envelope icon. Add a recipient, then enter a subject and message. You can attach documents using the paperclip icon.
You can also select the message icon in the top-right corner, search for one or more colleagues, select them and then send a message.
  • Go to Messages, select the messages you want to delete and select the "Delete messages" icon.

Mileage allowance

  • Check that all mandatory fields have been completed. The heading for each category turns green when the information has been entered correctly.

My profile

  • You can see the personal information that your company’s Timegrip TP administrator has made available to you.

  • You can only edit the information that your company’s Timegrip TP administrator has given you permission to change. Fields shown in bold cannot be edited.

My work time

  • Under "My work time", you can see working times with and without physical attendance. You can also see work functions, terminal times and absence, including absence types such as time off in lieu and PH-day.
The overview shows the number of previous weeks and the end date set in Timegrip TP. On a computer, you can navigate using the drop-down menu. On a phone, you can swipe up or down.
  • The visible period is controlled by the settings in Timegrip TP. The view may also be restricted so that working times outside an approved or payroll-locked period are not shown. Contact your line manager if you need to view a different period.

Post registration

  • A padlock means that the working time has been approved, so you cannot make a post registration for it. Post registration may also be unavailable because the feature is not enabled in Timegrip TP. Contact your line manager if you are unsure.

  • The option to delete post registrations may not be enabled in Timegrip TP. Contact your line manager for help.

  • Select the day for the clocking you want to change. Select "Add new", make the change, then select "Save" in the bottom-right corner.
