Granngården uses Timegrip as a management tool for time tracking and scheduling

 

Store Managers at the Swedish retail chain Granngården are set to improve their use of Timegrip (Formerly TimePlan). HR Manager Maria Pressing and Regional Sales Manager Mona Jansén recently held the first workshops on how Timegrip can provide better oversight of schedules and employee time tracking while freeing up time to focus on staff and customers.

 

Granngården has used Timegrip for scheduling and time tracking in its 111 stores across Sweden since 2012. However, when Mona Jansén joined as Regional Sales Manager in 2018, she discovered that not all stores were using Timegrip optimally.

 

Together with HR Manager Maria Pressing, she initiated a series of workshops for Granngården's store managers. The first workshop was recently held in Stockholm for 111 store managers.

 

"Many of our store managers didn’t realise how much they could do with Timegrip or how to use it effectively," said Mona Jansén, who previously worked with Timegrip and time tracking in a Swedish electronics chain and JYSK.

 

"Stores have changed over the past seven years, and so have employees. Therefore, we need to update how we use Timegrip to reflect where we are today."

 

 

Timegrip is a management tool

 

For HR Manager Maria Pressing, it was crucial to communicate why Timegrip is important and then train store managers to get the most out of the software.

 

"During the first workshop, we emphasised what happens if working hours and employee data are not updated in Timegrip. It creates additional work during the payroll process when the system isn’t used correctly," said Maria Pressing.
During the workshop, Mona Jansén also focused on costs, index counters, and rights profiles.

 

"We showed how store managers can use Timegrip as a management tool because the program provides data on sick leave, absenteeism, overtime, and trends in a store. One of the key insights was that when store managers keep Timegrip updated, the program handles much of the administrative workload. This allows them to step away from their screens and focus on employees and customers," explained Mona Jansén.

 

 

Less shy

 

During the workshop, store managers were also introduced to Timegrip’s Senior Consultant Anna Friborg. She is employed by Granngården to staff Timegrip's telephone support a few days a week and also responds to email inquiries.

 

"Several of our store managers stood up and hugged Anna when they realised she was the person they had spoken with. It makes a big difference that she is originally from Sweden and speaks Swedish. After the workshop, store managers feel less hesitant to reach out for help. We are happy to work with Anna," said Maria Pressing.

 

 

A tool we already had

 

The next step for Granngården is a follow-up workshop in December, where Mona Jansén and Anna Friborg will delve deeper into how store managers can use specific functions in Timegrip. Currently, Granngården has just over 1,000 employees using Timegrip to register their working hours by logging in and out of Timegrip terminals. Employees can also view their schedules, holidays, and flex time via the Timegrip Web App.

 

"Following our first workshop for store managers, we have also trained our seven Regional Sales Managers and our Country Manager in Timegrip," said Mona Jansén, adding:

"Timegrip is a tool we already had but were not utilising to its full potential. We intend to change that now."
